AI Receptionist is your 24/7 virtual assistant built into Goldie. It reads incoming client text messages, understands what the client wants, and either suggests the right action for you to approve or handles it automatically — booking appointments, managing reschedules, confirming, and processing cancellations, all based on your business settings.
Plan Availability
Pro Plus — Full access. 50 AI replies are included in every monthly cycle. AI Receptionist can handle new bookings, reschedules, confirmations, and cancellations. Once your 50 monthly replies are used, you can purchase additional packs that never expire.
Pro — 10 free trial replies (lifetime, not monthly). During the trial, the AI Receptionist automatically confirms appointments when a client replies with an exact match: Yes, Y, OK, or Confirm. After the trial ends, you'll be prompted to upgrade to Pro Plus to unlock the full set of features.
How to Enable AI Receptionist
To enable AI Receptionist, go to Menu (☰) → Settings → AI Receptionist.
Toggle the feature on. From this same screen, you can switch between reply modes, view your monthly AI replies usage, and turn AI Receptionist off at any time.
Turning it off stops the AI from analyzing incoming messages and removes the AI actions from your chats.
Turning it back on restores it to the state it was in before you disabled it.
Note: users without two-way texting will not see AI Receptionist in settings.
Where AI Receptionist Lives: The Chat Screen
AI Receptionist works directly inside your Chats. The Chat screen is accessible from the top bar on your Calendar and shows all your client conversations in one place.
Conversations with unread messages or pending AI actions are shown in bold, and an AI icon appears next to any conversation where the AI has already taken an action.
Two Reply Modes
AI Receptionist works in two modes. You can switch between them at any time from the AI Receptionist settings screen.
Manual
When a client message comes in, AI Receptionist reads it and shows you a suggested action — a reply to send, an appointment to book, or a status to update. Each suggestion appears as a card in the chat. You review it and tap to confirm, edit, or dismiss it. Nothing is sent or changed without your approval.
Once you confirm an AI suggestion for the first time, the AI will automatically handle replies in that conversation for the next 24 hours.
You'll see a confirmation toast: "💬 Goldie AI Receptionist will automatically reply for the next 24 hours." You can stop this at any moment by tapping Pause AI and replying manually inside the conversation.
Automated
The AI handles everything automatically — replying to clients, booking, rescheduling, confirming, and canceling — based on your business settings. You receive a push notification each time the AI completes an action. Tapping the notification opens the relevant client chat so you can review what happened.
If you step in and send a manual message in any conversation, the AI pauses for that client for 12 hours and you'll see a toast: "⏸️ Goldie AI Receptionist is paused for this client for 12 hours."
What AI Receptionist Handles
AI Receptionist identifies the intent behind each client message and acts accordingly. It always introduces itself at the start of a conversation: "Hi! I'm [BUSINESS NAME]'s AI Receptionist."
New Appointment Requests
When a client asks to book, "Do you have anything tomorrow?" or "Can I book for Friday?" the AI checks your availability and offers up to two time slots. If the client had a previous appointment, the AI starts by asking if they'd like the same service again. Once the client selects a slot, the appointment is created immediately.
If you have No-show protection set to Collect deposits, the appointment is created in a Pending Confirmation state, and the AI sends the client a deposit payment link. The appointment is fully confirmed once the deposit is paid.
For multi-staff businesses, the AI tries to keep the client with the same staff member. If that staff member is unavailable, it offers alternative staff or different time slots.
Reschedule Requests
When a client wants to move an appointment, "Can we change to 3rd October, same time?" or "Can I bring it forward?" the AI identifies the existing appointment, checks availability around the requested date, and proposes new slots. If the client gives a specific date, the AI checks that date first. If not, it asks when they'd like to move it to.
For multi-staff businesses, the AI tries to keep the same staff member and offers an alternative only if needed, clearly communicating any change.
Appointment Confirmations
When a client replies to a Goldie reminder with a clear confirmation — "Yes", "Y", "OK", "Confirm", "Sounds good", "See you Friday" — the AI automatically marks the appointment as Confirmed. No message is sent to the client for this action. You'll see a note in the chat: "Goldie AI Receptionist changed the status to Confirmed for [CLIENT NAME]'s appointment on [DATE] at [TIME]."
If the reply is a close but not exact match, the AI shows you a prompt to confirm the action manually.
Cancellation Requests
When a client wants to cancel, the AI always tries to reschedule first — "Would you like to reschedule instead of canceling?" If the client insists on canceling, the AI handles it based on your no-show protection settings:
If you use Collect deposits and the deposit is non-refundable, the AI informs the client: "The deposit you've paid can only be transferred if you reschedule. By canceling, you acknowledge that your deposit will be forfeited."
If you use Collect deposits and the cancellation falls within the refund window, the AI will cancel and notify you that the client is entitled to a deposit refund.
If you use Capture card details and the cancellation occurs outside your cancellation timeframe, the AI informs the client that a fee may apply and notifies you: "Since the cancellation occurred outside your cancellation timeframe, you're entitled to charge a cancellation fee."
If your policy is set to Never allow cancellations, the AI informs the client accordingly.
Ending a Conversation
If a client signals they're done — "I'm all good", "Never mind", or similar — without requesting to speak to a person, the AI closes out politely: "OK. Don't hesitate to reach out if you need anything." The conversation is then left for you to pick up if needed.
Routing to a Human
If a client explicitly asks to speak with a person, the AI steps aside: "Got it! I'll step aside now and let a human team member take it from here." The conversation is left for you to handle manually.
The AI also pauses automatically if you or a staff member manually changes an appointment while a conversation is active, or if an automated reminder is sent during an active conversation. In both cases, the client receives a courtesy message: "Just so you know, [STAFF NAME] has stepped in to help you directly. The AI Receptionist is paused for now — you're in good hands!"
AI Replies Usage
You can track your monthly AI replies usage on the AI Receptionist settings screen and in My Account. The progress bar shows how many replies you've used in the current monthly cycle.
When you have 5 replies remaining, you'll receive a push notification to plan ahead. When your quota is fully used, an inline prompt appears inside your chats with a direct option to buy more.
The monthly quota is always consumed first; any extra replies purchased are used only after the monthly quota runs out.
Buying More AI Replies
If you run out of AI replies before your monthly cycle resets, you can purchase additional packs. Extra replies never expire and remain in your account until used.
To buy more AI replies, go to Menu (☰) → My Account and tap on Buy more AI replies.
