The Goldie Waitlist lets clients express interest in a date and time when no slot is currently available. Goldie monitors your calendar and automatically notifies you or the client when a matching slot opens, depending on your Waitlist mode.
Where to Find the Waitlist
Go to the Left menu → Waitlist (listed under Clients). All roles, Account owner, Admin, and Staff, can see and interact with the Waitlist.
The first time you open it, you'll see a landing screen describing the feature. Once you have at least one entry, you'll land directly on the list of entries.
Adding a Client to the Waitlist
You can add clients manually from inside the app:
Go to the Left menu → Waitlist
Tap the + button (bottom right)
Select the client, their preferred date and time (Anytime, Morning, or Afternoon), services, and optionally products and notes
Tap Save
The client receives a confirmation email with their waitlist details and a link to view their entry.
Clients can also join the waitlist themselves through your Online Booking page, when that option is enabled in your settings.
How the Waitlist Works
From the customer's perspective, the waitlist process is straightforward. When they navigate to your online booking page and find no available slots, they'll see a "Join Waitlist" option. By selecting this, customers can:
Choose their preferred date
Select a time preference (Anytime, Morning, or Afternoon)
Provide their contact information
Select desired services and products
Entry Statuses
Each waitlist entry has one of two statuses:
Awaiting availability — No matching slot has been found yet. Goldie is monitoring your calendar.
Available to book — A slot matching the client's request has opened. A Book now button appears on the entry.
Entries are ordered by date, oldest first. Entries converted into appointments or that have expired are removed from the list automatically.
Booking an Appointment from a Waitlist Entry
When a slot is marked available to book:
Tap the entry, then tap Book now
The New Appointment screen opens with all details pre-filled, including the available time slot
Confirm the appointment as normal
For entries still awaiting availability:
Tap the three-dot menu (⋮) on the entry
Select Book now
The New Appointment screen opens pre-filled with the client's requested date, defaulting to 9:00 AM — adjust the time before saving
Removing a Client from the Waitlist
To delete a waitlist entry:
Go to Left menu → Waitlist
Find the client's entry in the list
Tap the three-dot menu (⋮) on the right side of the entry
Select Remove from waitlist
Tap Delete in the confirmation prompt to confirm
The entry is permanently removed. This does not create or cancel any appointment; it simply removes the client from the queue.
Note: If you delete a client from your client list, all of their waitlist entries are also deleted automatically.
Clients can also leave the waitlist themselves at any time by tapping Leave Waitlist on their confirmation email or from their Client Account.
Waitlist Settings
Only the Account owner can access Waitlist settings. Go to Menu → Waitlist → tap the gear icon, or tap here.
As a business owner, you have two primary modes for managing waitlist entries:
Automatic mode (default):
In automatic mode, the system takes a proactive approach to filling open slots. When a cancellation occurs or a new availability opens up, the system automatically:
Identifies matching waitlist entries
Sends a direct email notification to the client with a Book now link
Allows the client to book the newly available slot themselves
This mode is ideal for businesses looking to minimize manual intervention and maximize efficiency.
Manual mode:
Manual mode offers a hands-on approach for those who prefer more direct control. When a slot becomes available, you'll receive a push notification with details about the matching waitlist entry. You can then:
Review waiting customers
Decide which client to book
Manually assign the newly available time slot using the Book now action
This mode provides greater flexibility and allows for more personalized scheduling decisions.
Allow clients to join the waitlist online:
Toggle this ON or OFF to control whether the Waitlist option appears on your booking website. It is ON by default. Turning it OFF removes the waitlist from your booking page — useful if you only want to manage the waitlist manually from within the app.
How Notifications Work
When a client joins online (both modes): You receive a push notification and an in-app notification. The Account owner, Admins with full notification settings, and the requested staff member are all notified.
When a slot becomes available:
Automatic mode: The client receives an email with a "Book now" button. When they confirm, a "FROM WAITLIST" label appears in your Notifications screen.
Manual mode: You receive a push notification and in-app alert to book on the client's behalf.
