Online Booking Best Practices and Recommendations

Review the booking website, booking preferences, and no-show protection settings that help your Goldie online booking page work the way you want.

Your online booking page is where clients find your services and book with you. The recommendations below help you keep your business details accurate, control when and how clients can book, and protect your time from no-shows.

Booking Website

Your booking website settings control what clients see when they open your booking link.

To edit your booking website in Goldie, go to Menu (☰) → Settings → Online Booking → Booking Website.

Keep Your Basic Info Up to Date

In Basic Info, check that your booking link, business name, business description, location address, and contact information are correct. Clients rely on these details to find you and contact you before their appointment.

Review Your Business Hours

Clients can only book during the business hours you set for each day. If you need to pause bookings for a while, you can disable all working hours. Clients can still see your services, but they won't be able to book.

Add Your Policy and Terms

In Extra Info, tap Policy and terms to add rules clients should know before booking, such as whether you require a deposit, whether it's refundable or transferable, and any grace period for late arrivals. Your terms are shown to all clients during online booking.

Ask Clients for Extra Details

Also in Extra Info, you can ask clients for more information in the last step of online booking:

  • Customizable Field – A text box for any question you want to ask. It's on by default and titled Message. You can rename it, add a description, and make it required.

  • Photo – Lets clients upload up to five photos when they book.

  • Location – Asks clients for their address, for example, if you travel to them for the service.

Booking Preferences

Booking preferences control which time slots clients see and how you handle their bookings.

To open your booking preferences in Goldie, go to Menu (☰) → Settings → Online Booking → Booking preferences.

Calendar Availability

Choose which time slots clients can book on the days you're open:

  • Show clients all available time slots (default) – Clients can book any free time slot in your calendar.

  • Optimized schedule – Clients only see time slots next to your existing appointments, so your bookings stay back-to-back. This also limits the time slots clients can choose from.

Booking Acceptance

By default, Goldie accepts online bookings automatically. If you'd rather review each request first, switch to manual acceptance:

  • Automatically accept all appointment requests (default)

  • Manually accept or decline all appointment requests

Time Slot Availability

Choose how time slots are spaced on your booking page:

  • According to service duration – Time slots update based on the length of the service the client selects.

  • 15 minutes – 9:00, 9:15, 9:30...

  • 30 minutes – 9:00, 9:30, 10:00...

  • Hourly – 9:00, 10:00, 11:00...

Booking Timeframe

Set two limits for when clients can book:

  • How far in advance of the start time clients can book – From "anytime" to a set number of hours, days, weeks, or months.

  • How far into the future clients can book, up to 12 months.

Cancellation Timeframe

In Cancellation timeframe, set how long before the start time clients can still cancel or reschedule. The default is up to 24 hours before the start time. This setting applies to online booking and to appointments you manage in the app.

Clients can also give a reason when they cancel or reschedule online. Learn more in Collecting a Reason When Clients Cancel or Reschedule.

No-Show Protection

No-show protection helps reduce lost revenue from missed appointments and late cancellations by requiring a deposit or card when clients book online.

To set it up in Goldie, go to Menu (☰) → Settings → Payments → No-show protection.

Choose one of the following options:

  • Collect deposits – Clients pay a deposit when they book. You can set a percentage of the service price (default: 50%) or a fixed amount (default: $50 USD or the equivalent in your currency). Clients can also save their card to pay the remaining balance for that appointment.

  • Capture card details – Clients add a card on file when they book. If you mark the appointment as Canceled or No-show after the cancellation timeframe, you can charge a cancellation fee (default: 50% of the service price or $50 USD).

  • I don't need no-show protection; clients book without paying a deposit or saving a card.

Deposit Refund Options

If you collect deposits, choose your refund policy:

  • Refundable within the cancellation timeframe (default for new users)

  • Non-refundable regardless of when the cancellation happens

You don't collect card details for appointments you create manually, so you can't charge cancellation or no-show fees for those appointments.

FAQs

Can I use both manual acceptance and no-show protection?

Yes. You can use them together to review each booking request while still protecting yourself from no-shows.

Why do my clients see only a few available time slots?

If Calendar availability is set to Optimized schedule, clients only see time slots next to existing appointments. Switch to Show clients all available time slots to show your full availability.

Does the cancellation timeframe affect deposits and fees?

Yes. Refundable deposits can be refunded only when the client cancels within the cancellation timeframe, and cancellation fees apply when you mark an appointment as Canceled or No-show after that.
