How To Set Up Rebooking Reminders

Learn how the Rebooking reminder works, how to turn it on, and how it skips clients who already have a future appointment.

The Rebooking reminder is a message template that reminds clients to book their next visit after a set period. It can also check whether the client already has a future appointment, so clients who have already rebooked don't receive it.

What Is the Rebooking Reminder?

The Rebooking reminder is available in your message templates, right after the Follow-up template. By default, it's set up like this:

  • Message name: Rebooking reminder

  • Sending time: 30 days after the appointment

  • Send only if the client doesn't have a future appointment booked: ON

  • Template: Hi [Client's first name], it's a good time to rebook. Please visit [Booking link] or call [Phone number]. See you soon! [Company name]

You can edit the text, send time, and settings like any other message template.

The [Booking link] is included even if online booking isn't active on your account. In that case, clients who open the link will see a note that the business may not be accepting appointments online.

How to Turn On the Rebooking Reminder

To set it up in Goldie, go to Menu (☰) → Settings → Messages.

  1. Open the Rebooking reminder template.

  2. Turn on Add this message automatically to each appointment.

  3. Adjust the sending time or message text if needed, then save.

Once it's on, the Rebooking reminder is added to new appointments you create.

When you upgrade to Pro or Pro Plus, the Rebooking reminder template is turned on automatically. If you were already on Pro or Pro Plus with the Manual sending method, it was turned on for you as well. If you use the Automatic sending method, you can turn it on yourself from Message settings.

The Rebooking reminder is available on all plans. On the Free plan, you can add only one message per appointment and set only one message as default. To use more, you'll need to upgrade.

Send Only If the Client Doesn't Have a Future Appointment

Any message template that uses After sending times includes the setting Send only if the client doesn't have a future appointment booked.

When it's on, Goldie checks at the moment of sending whether the client already has an upcoming appointment. If they do, the message isn't sent.

  1. Go to Menu (☰) → Settings → Messages and open a template, or tap + to create a new one.

  2. Tap Sending time and select After. Choose days or months (1 to 12).

  3. Turn on Send only if the client doesn't have a future appointment booked.

This setting appears only when all sending times on the message are set to After. If you add an Instantly or Before sending time, the setting disappears. It's off by default for new templates and for the existing Follow-up template.

The setting is checked when the message is due to be sent, not when the appointment is created. If you turn it off after creating an appointment, the message will be sent even if the client has a future appointment.

Why Does a Message Show "Not Sent"?

If the client already had a future appointment when the Rebooking reminder was due, the message shows the status NOT SENT on the appointment. Tapping it shows this explanation: "No action has been taken to send this message or the message was not needed anymore."

This is expected. It means the reminder did its job and skipped a client who had already rebooked.

Schedule the Next Appointment After Checkout

In the Goldie mobile app, after you take a full payment for an appointment, you'll see the Schedule next appointment screen. It appears for any payment method, but not when you take a deposit.

  • Schedule now opens the new appointment flow so you can book the client's next visit right away.

  • Set rebooking reminder in 30 days appears only if the appointment doesn't already have a Rebooking reminder. It adds the reminder using the first sending time from your Rebooking reminder template, so the number of days matches your settings.

  • Skip takes you to the appointment details without adding a reminder.

Rebook a Past Appointment

Once an appointment's start time has passed, you'll see a Rebook button in its appointment details. It creates a new appointment with the same client, sub-client, services, and add-ons, so you only need to pick a new date and time. Learn more in How to rebook an appointment?

Frequently Asked Questions

Will a client get the reminder if they already booked their next visit?

Not if Send only if the client doesn't have a future appointment booked is on. The message will show as NOT SENT instead.

Can I use this setting on my Follow-up message?

Yes. Any template that has only After sending times can use it. For the Follow-up template, it's off by default, so you'll need to turn it on.
