Merge duplicate clients

Learn how to find and merge duplicate client profiles in the Goldie app so each client has one profile with their appointments, payments, and history in one place.

Sometimes the same client ends up saved in Goldie more than once — for example, once from a manual add and again from an online booking. Goldie can now spot these duplicates and help you combine them into a single profile, so each client's appointments, payments, and history stay in one place.

How Goldie finds duplicate clients


Once a week, Goldie checks your client list for profiles that share the same phone number and groups them together as possible duplicates. Clients saved without a phone number aren't checked and won't appear as duplicates.

When duplicates are found, you'll be notified in two ways:

  • A push notification letting you know duplicate clients were found.

  • A banner on the Clients screen showing the number of duplicates found. The banner stays until no unmerged duplicates remain, and the count updates after each weekly check and after every merge.

Duplicate notifications and merging are available to team members with permission to delete clients. As a staff member, if you don't have this permission, you won't see the banner or the push notification.

Open the Merge duplicate clients screen


There are two ways to reach the Merge duplicate clients screen:

  1. Tap the duplicate clients push notification, or

  2. Open Goldie and go to Menu (☰) → Clients, then tap the duplicate clients banner at the top of the screen.

If you open this screen and there's nothing to review, you'll see the message "No duplicate clients found."

Merge a group of duplicate clients


Each group of duplicates is shown with one main profile at the top and the duplicate profiles grouped beneath it. Goldie chooses the main profile for you:

  • The profile with a saved card on file is kept as the main profile.

  • If none of the profiles has a saved card, Goldie keeps the profile with the most appointment activity.

Each group shows the client's photo or initials, name, total number of appointments, a card-on-file label when a card is saved, and how many duplicates were found.

To merge a group:

  1. Tap the group to expand it and review the duplicates. Each duplicate shows its photo or initials, name, total appointments, and a Blocked label if that profile is blocked.

  2. Tap Merge clients.

The profiles are combined into the main profile, and the group is removed from the screen.

Merge all duplicates at once


If more than one group of duplicates is found, a Merge all clients button appears at the bottom of the screen. Tapping it merges all groups in a single step.

While a full merge is running, the Clients banner shows a Merge in progress message, and Goldie displays a loading state. Merging a large client list can take a little time, so let it finish before leaving the screen.

What's kept when you merge


The main profile keeps its own details and takes on everything from the duplicates:

  • Client details — any field the main profile is missing (such as a second phone number, birthday, email, notes, location, or photo) is filled in from a duplicate. Details already on the main profile are kept as they are. Notes are the exception: a duplicate's notes are added to the main profile's notes rather than replacing them.

  • Appointments (including appointment notes), online bookings (including custom-field responses), payments, photos, gift cards, forms, sub-clients, waitlist entries, and reviews all move to the main profile.

  • Loyalty stamps from the duplicates are added to the main profile's stamps. If the combined total reaches a reward, the reward is issued and any leftover stamps carry over toward the next one.

  • Reports are updated to include the merged clients' data.

  • Chats — the main profile's message thread is kept. A duplicate's thread isn't carried over.

  • If any profile in the group is blocked, the merged profile is blocked too.

SMS and marketing consent follow the most restrictive setting in the group. If one profile had opted out, the merged profile stays opted out.

About saved cards on file:

A saved card can't be moved between clients, so only the main profile's card on file is kept. If a duplicate profile had its own saved card, that card is removed when you merge.

For any appointment moved to the main profile that has no-show or cancellation protection, the fee (if one is charged) uses the main profile's current card on file.

Good to know


  • Merging can't be undone from the app. If you merged clients by mistake, reach out to our support team, and we'll help.

  • A merge syncs automatically across all the devices signed in to your account.

  • Merging duplicate clients is done in the Goldie app on iOS and Android — it isn't available in the web app.
