Duplicate client profiles usually start the same way — the same person gets saved twice, or someone in the same household is added under a phone number that already exists. Goldie now warns you when it happens and gives you more ways to resolve duplicates than merging alone.
For how Goldie finds duplicates each week and how merging works, see Merge duplicate clients.
A warning before you save a duplicate
When you save a new client whose phone number matches a client you already have, Goldie first shows a warning titled We found an existing client with this phone number. The warning shows the matching client's photo or initials, name, and phone number, so you can tell straight away who Goldie found.
This is a warning, not a block. You can always continue and save the client anyway. If the phone number doesn't match anyone, the client saves as usual, and you'll see nothing.
From there, you have three choices:
Open the client you already have
Tap Go to {Client name}'s profile to open the existing client instead. Use this when you realize it's the same person and you don't need a second profile.
Add them as a sub-client
Under Someone linked to {client's name}?, tap Create sub-client. This option is for a family member, a pet, or anyone else who shares that phone number but needs their own profile under the existing client's contact details.
Goldie opens the New sub-client screen with the details you already typed filled in. Once you save, you're taken back to your Clients screen. To learn more about sub-client types and what you can store on them, see Sub-Clients – Organize Your Clients Even Better.
Save them as a separate client anyway
Under Not connected to {client name}?, tap Create a new client with same phone number. The client is created as its own profile, and Goldie remembers your decision — this client won't be flagged as a possible duplicate again.
The same warning while booking an appointment
You'll also see the warning when you add a new client while creating an appointment.
It works the same way, with one difference: instead of opening a profile, the first option is Use {client name} for this appointment, which selects the existing client and takes you back to the appointment you were creating.
If you choose Create sub-client here, saving the sub-client fills the appointment in with both the main client and the new sub-client.
Merging isn't always the right answer. On the Merge duplicate clients screen, expand a group, and you'll now find a […] button on each duplicate, with two options.
Make sub-client
Turns the duplicate into a sub-client of the main profile. Goldie opens the New sub-client screen with the details filled in, and once you save, you're returned to the Merge screen with that duplicate removed from the group.
Use this when the second profile was never really a duplicate—it's a partner, a child, or a pet booked under the same number.
Keep as a separate client
Keeps both profiles exactly as they are. Goldie asks you to confirm with Keep as a separate client?, explaining that the client will remain separate and will no longer appear in this group as a duplicate. Tap Keep separate to confirm, or Cancel to leave things as they were.
Once confirmed, the profile leaves the group and won't be flagged as a possible duplicate in future checks.
Confirming a merge
Merging now has its own confirmation. Merge duplicates? It tells you that everything from the duplicate profiles—appointments, payments, notes, photos, and history—will move to the main client profile, and the duplicate profiles will be deleted. Choose Cancel or Merge.
Merging every group at once asks for a little more. Merge all duplicates? Shows the same explanation plus a checkbox: I've reviewed the profiles being merged. The Merge all button stays disabled until you tick it.
Merging can't be undone, so it's worth expanding each group and checking the profiles before you confirm.
